Main Dashboard – Tiles Changes

A new system setting has been implemented in our system, which allows for the program name to be displayed alongside its corresponding program code on various tiles including Continuing, Starters, Finishers, and Short programs Tiles. With the program code being displayed alongside the program name, users will now have a quick and efficient way to search, navigate, and locate specific programs within the system.

You will also see Program Name in the Enrolment Profile Tile on the Enrolment Dashboard.

Note – If you wish to see program names under the tiles, please contact our support team, so they can assist you in making the necessary changes to your organisation site.

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New features introduced on the Training Plans & Result screen
  • New Result History screen
  • Introduced new parameters for result type for student certificates
  • Copy Timetable new functionality has been introduced
  • Added new report namely Student Contact Log Report
  • New changes in the financial section of the Application Process
  • New Add AVETMISS settings and Add OSHC Provider details in the application final step

Training Plan & Results Screen – Colour Codings

A new feature has been introduced on the Training Plan and Results Screen, which involves colour coding for both Results and Subject dates.

Result History – New Screen

The Result History screen provides a complete record of all past results and their respective dates for specific subjects. You will be able to access this screen from the Training Plan & Results screen > Results History icon.

Certificate Report – New parameters for Result Types

The Enrolment Dashboard now includes new parameters for result types in the Certificates Pop up window. Specifically, you can select from three options: Final Results, Progressive Results, or Both.

Copy Timetable – New Functionality

Creating a timetable from scratch can be a time-consuming and tedious task, especially if the same pattern of classes and schedule repeats after a certain period of time. However, there is a more efficient way to create a new timetable with the same pattern, and that is by using the copy timetable functionality.

This feature allows you to duplicate an existing timetable and make necessary changes as required. By doing so, you can save time and effort in creating a new timetable from scratch while ensuring that the schedule and class pattern remains consistent with the previous timetable.

Student Contact Log – New Report

A students contact details give you a list of all the contact log entries you have done in the communication section for a student and/or their enrolment/s. By running this report, you can gain access to past, current, and future contact information for the students, which can be useful for various purposes.

Additionally, having access to this report can help you plan for the future and make informed decisions regarding the student’s education.

Enrolment AVETMISS Settings > +Pre2018 AVETMISS settings button changes

We have made some changes to the +Pre2018 AVETMISS settings button on the Enrolment Avetmiss Settings screen.

The button will now only be visible under specific conditions. Specifically, it will only be displayed if the enrolment start date is earlier than or equal to 01/01/2019. On the other hand, if the enrolment start date is after 01/01/2019, the button will not be visible, and it will remain hidden.

Application Process – edit/add Discount

In the past, the system used to automatically split discounts among each invoice while doing the application.

However, now we have added the ability in the system that allows you to add and edit discounts for each invoice individually.

Application Process – Instalment Plans Changes

Recently, we have added a new option namely Patter on the New Application – Edit Invoice Screen.

This option allows you to recalculate invoices based on the pattern selection. With the Patter option, you can quickly and easily update the invoices without having to manually adjust each item.

Application Process – Study Period Changes

When using the study period start date as the invoice date or invoice due date while the application process, the system automatically calculates the study period dates for you.

Application Process – New OSHC and AVETMISS Settings Buttons

A new feature has been implemented on the Application Finished screen that includes additional buttons called +Add OSHC Provider Details and +Add AVETMISS Settings.

You will be able to update the AVETMISS Settings and OSHC provider details for the application from these buttons.

Training Plan & Results Screen – New Icons

Recently, we have made some changes to the Training Plan and Results Screen by introducing new icons, namely Result Attempts and Result History. These icons will provide you with more information about the student’s progress and performance throughout their training sessions.

The Result Attempts icon will show you how many times the student has attempted a particular subject. On the other hand, the Result History icon will display the student’s past results, allowing you to track their progress and identify areas where they need to improve.

This update includes the addition of new merge fields, namely Campus Program CRICOS code and Program CRICOS Name.

IMPORTANT – How is your progress going with reviewing and cleaning up your data? If you are submitting your National AVETMISS 2022 student data, please note that there are only five days left until the deadline for successful data submission.

Have you successfully validated and finalised your submission for 2022 student data? If not, can we help you?

If you are having any issues with errors that you don’t understand, please email the error list and NAT files to support@rtosoftware.com.au and then call support on 1300 85 05 85 and they will help you. The support staff must have the error list and NAT files to be able to assist you.

If for some reason you have not commenced your submissions, you have only 5 business days left to finalise your data submission with NCVER. If you are not sure where to start or what to do please select read more and it will walk you through the steps. If you need help contact our support staff urgently.

Email Template Screen – New Merge Fields

We have added new merge fields for Campus Program CRICOS code and Program CRICOS Name for customising the enrolments Email Template.

When you’re creating an email template for enrolments, you can now use these merge fields to automatically fill in the Program CRICOS code and campus program CRICOS code into the email.

Agent Portal – Commission Due Tile

We have introduced a new tile Commission Due tile in the Agent Portal. This tile will give you the details about the agent commission which is due for the students.

Enrolment is not appearing in AVETMISS Export

We have recently got asked a question about the enrolment not appearing in the AVETMISS Export. The enrolments don’t show up in AVETMISS export when the Include in National Export is not selected on the Enrolment Dashboard > Edit AVETMISS Screen.

Please see the below steps to select the Include in National Export.

Note – If you have not selected the Funding Source National on this screen then system will not let you select the Include in national Export tick box. Once you have selected and saved the required fields then you need to regenerate the AVETMISS Export to see that enrolment.

Difference between Commencement and Completed Statuses

We have recently got asked about the difference between Commencement and Completed statuses of an enrolment. Please see below points to understand the qualification Information process on the Training Plan and Results screen.

Commencement StatusCompleted Status
If you are a CRICOS and the student is on their student visa and their intension is to complete the full qualification.
Then in such cases you need to set the commencement status as Full
Then the completed status should be selected as Full once they complete their qualification
If you are a Domestic and the student is studying a short course or a competency and their intension is to complete full qualification then also you need to set the commencement status as FullThen the completed status should be selected as Full once they complete their qualification
If you have students where they have the intension to commence full qualification and you set their commencement status as Full. They studied 2 or 3 subjects but in between the enrolment period they withdraw or cancel their enrolment then in such cases the commence status will stay as FullAnd you will select the completed status as SOA
There are some cases where you are aware that the student will study only 1 or 2 subjects then in that case you can select the commencement status as SOAWhere the Completed Status will also be SOA
