Earlier, the system used to print certificates individually for each enrolment. However, we have introduced a new feature Print Certificates in bulk from the Continuing and Finishers listing screens.
Once you generate the certificates, the system will show you a number of enrolments and generated certificates in the word and pdf versions on the Report Dashboard.

NCVER Annual Student Data Submission

We have made some changes to Report Dashboard in the system. When you generate an offer letter or certificate for a specific student/Applicant, the system will show the student’s information such as Student Number, Enrolment Number and Application Number and if you generate certificates or offers in bulk then you will be able to see the number of applications and enrolments.
Also, for CSV reports such as Starters, Finishers, you will be able to see the parameters (Start Date, End Date and Campus) on the report dashboard.
We have added new checkboxes in the Refund and Transfer screens for Refund and Cancel and Transfer and Cancel. Where you select the new tick box, the system will cancel the receipted amount against the relevant invoice. This means it could cancel the entire invoice OR the receipted amount for the fee linked in the invoice.
Refund and Cancel:
This check box has been added under the Refund screen and can be used while refunding the receipted amount. By selecting this tick box, the system will cancel that refunded amount from the total invoice amount. For example, if you have an invoice for $500 and the receipt amount is also $500. When you do a refund on the receipt amount for $500, if you select the tick box for Refund and Cancel, then the system will create the refund entry and also cancel the invoice as well. Whereas, the same invoice for $500 but there is a receipt for only $200 and you want to refund that receipted amount. The system will do the refund entry for $200 and cancel out $200 from the invoice so the invoice amount will then be only $300.
Transfer and Cancel:
This check box has been added under the Transfer screen and can be used while transferring the receipted amount. By selecting this tick box, the system will use the same logic as for Refund and Cancel, for the invoice that the receipted amount is being transferred from.
We have changed the label name from TRS Number to WAAMS Number in the system. Now the Field label will display WAAMS Number (Western Australian Apprenticeship Management).

We have added new checkboxes Refund and Cancel and Transfer and Cancel under the Refund and Transfer screens.
These check boxes will display while creating a refund against a receipt or at the time of transferring the receipted amount. By selecting these options, the system will cancel the related invoice or the partial fee amount from the invoice at the same time.
Based on requests from ASQA to a number of our clients, we have created their template for Enrolment and Completion Data into a new report in the system. You can find this in the Compliance Menu.
Based on the date range you enter, the system will look for all enrolments and any subject where there is a final results with a result date in the date range.
From the Main Dashboard > Search Bar, you will be able to enter and search on an enrolment or application number. Based on what you search on, you will then be able to open the relevant dashboard.
In the Applicant and Student > AVETMISS entry screens, we have changed the field label name for TRS Number to WAAMS Number. WAAMS (WA Apprenticeship Management System) is specifically for any Western Australian funded client.

Visa/CoE Details Changes
We have made some new changes to the Visa/CoE details screen in TEAMS.
AD & APD – You will only be able to add/edit the Visa details at the Applicant level. At the application level, you will only be able to view the Visa details in read only format.
SD & ED – You will now be able to add both Visa and CoE information for a student from Student Dashboard and this will be the only location where you can add/edit information for the student/enrolment. However, the Visa/CoE details will reflect as read only from the Enrolment Dashboard level.
We have added a new check in the application process where the system will not allow you to add the program to the application if the program’s start date and end date are selected as more than five years.
Training Plan & Results – Subject and Assessment Result new check
As you all know, students can have multiple enrolments with multiple subjects and multiple assessments linked to the subjects
We have added a new check on the Training Plan & Results screen which will not allow you to change the result of the subjects if you have entered the final result of all the assessments linked to that subject.

In this update, we have released the new Agent Portal. This will allow any of your agents; that you give permissions to, the ability to view information that they would normally email or call you about. They will also be able to create applications in TEAMS and you will be notified. Also, we have introduced a new view icon to allow you to view a password for specific fields in the system. A new filter (tick box) on the Application Listing screen has been added, that will allow you to search based on application dates. And new filters and column heading changes have been made to the bulk results screen. For a full list of what has been added in this release, please see below.
Agent Portal
We have released the New Agent Portal. Agents will be able to view information that they would normally email or call you about, such as current students and commission invoices overdue etc. They will also be able to do applications that are directly in TEAMS and you will receive notifications.
As part of the Agent Portal, we have made some changes on the Agent entry screen for you to be able to setup their login details.
We have made some further improvements and added a new icon on the user login screen and User entry screen. Now the user will be able to view their password by selecting the view icon in the password field.
By default, the system uses the creation date of an application to search and display results in the Application List screen. We have added a new filter for Use Application Dates. If you select this the system will search based on the application dates. You can access this screen from the Marketing Dashboard.
We have made some changes to the Filters and how the system behaves when you select information in them. Also, we have changed the name of some of the column headings in the grid and have added a new column to the grid as well.
ED – Agent Financial Details new payment information
We have made some changes on the Enrolment Dashboard > Agent Financial screen. Now you will be able to see Agent’s payments (what invoice was done for both student and agent payments and who did the payments.

In this release, we have introduced three new columns (Discount, Discount Reason and Deposit Due) while editing multiple invoices and we have also done some changes in the Transition Process. There are some visual changeswhile doing the New Application processand you will also see Login Screen security improvementsand changes for the Agent Commission.
Login Screen security improvements
We have been introducing tightened security measures for all client sites and their users, to ensure their sites are secure.
We have made some changes to the login screen and locked account in the system to tighten the security of your passwords.
While editing multiple invoices on the Enrolment Dashboard > Student Financial screen, you will now see three different columns which will allow you to give a discount on a particular invoice.
While creating a receipt for an agent invoice, you will be able to make an overpayment where the student has paid you more money for an Agent commission.
New Application – Agent Commission-related changes
We have made some changes to the Agent commission while doing the new application process where you can pay commission to the invoice, Apply GST and create a bonus invoice for the Agent.
In the Transition Process, once you do the transition for any enrolment from one program to another, you will see the letter T at the end of the enrolment number.
Once you finished the transition process, you will be able to see this change in different locations in the system.

In this release, we have introduced a new feature to allow you to chat and call our support staff directly from TEAMS. We have also done changes in the student receipts to allow a student to make an overpayment. There are also visual changes that have been made and you can read about them below.
New Feature – LiveCaller to chat and call online
Now from TEAMS, you will be able to reach us via online chat and online calls through LiveCaller.
After each TEAMS update this icon will be a link to the newest post for What’s New. If you put your mouse over the icon it will show you what the date of the latest/last update was. For instance, this update is for 6th October 2022 so the tooltip will show you this and when you select the link it takes you to the What’s New post for the 6th October 2022. As we update every fortnight, this icon will always be there and just show the most current what’s new post until the update occurs.
This icon is available on the MainDashboard.
Help Icon in TEAMS
When you open screens in TEAMS, from this update onwards, you will see a new help icon in the right hand corner of the screen. If you click on this it will open a help post in a new browser that you can read and understand how the screen, process or report works.
Visual Changes in TEAMS
We have made minor visual changes to certain areas in the system.All the tiles in the system now have rounded borders and also we have changed the font style so it is easier to read.
We have also updated the icon for the upload picture icon and this icon for the Student Dashboard, Applicant Dashboard and Agent Dashboard.

While creating a receipt for a student invoice, you will be able to make an overpayment where the student has paid you more money for an invoice than they should have.
