Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New Agent icon on the student dashboard to identify and navigate the information
  • New Applicant icon and Edit Application icon on the student Dashboard’s Applicants Tile
  • The search bar has undergone some new improvements
  • New Invoice Due Date on the Enrolment Dashboard
  • New Amount (Amt) has been added to the Application Edit Invoice Screen
  • New CSV icon Attendance Listing Screen

Student Dashboard – Agent Icon for enrolments

On the Student Dashboard, a new Agent Icon has been added beneath the Current and Upcoming Enrolment tile.

Student Dashboard – Application Tile – New Icons

These icons will provide easy access to the student’s Applicant Dashboard, allowing for quick navigation to view and edit the student’s pending application.

Search Bar – Improved Search Functionality

With these changes, you will be able to search for a specific student by their Primary Email address, their DOB and, by typing their last name followed by their first name, in a particular format.

Enrolment Dashboard – Raise Invoice Screen New Field

A new field has been added to the Invoice summary tile called Invoice Due Date. This new feature allows you to specify a specific due date for the invoice, which can help to better manage payments and keep track of outstanding balances.

New Application – Edit Invoices/Preview Screen – New Column

A new column called Amount (Amt) has been added to the Application Edit Invoice Screen. This column is specifically for the Rate Based Tuition fee

With this new feature, you can easily view the amount you will be charging based on the quantity you have selected for the rate based tuition fee.

Enrolment Dashboard – Attendance Listing Screen – New CSV icon

We have added new CSV icon on the attendance listing screen which will appear in the right hand side of the student attendance listing grid.

You can simply select this icon and the system will generate the Student Attendance Grid report for you.

Main Dashboard > Finance Icon

The main menu for Finance provides a list of icons that allow you to navigate to different areas related to financial transactions for students and agents. By selecting the icons, you can access the financial dashboard, screens, and reports that provide information on the financial status and activities of these groups.

Agent Performance Report Changes

We have added a new column for Study Weeks and other column heading name changes.

Optimised the generation of the report

The generation of reports has been optimised, resulting in a significant reduction in the time it takes to produce Word formats. The system has been improved to enhance the speed of generating reports, providing you with faster access to the information you need.

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New Visa Expiry Date merge field introduced for Email Template
  • New merge field and Column introduced for Refund Report

Email Template – Visa Expiry Date – New Merge Field

A new merge field called Visa Expiry Date has been added to the Email Template Screen. This merge field applies to email templates for both student and enrolment types.

Refund Report – New Merge field and Column

Recently, we have made some changes to the Refund report. Two new elements have been added to it, namely the Refund Number merge field and the Quantity Column.

LMS/Student Portal version 2 – version 1 is complete, now to look at version 2. What would you love to have in a Student portal/basic LMS?

Integrating with EziDebit – do you use EziDebit or another direct debit company to manage your student payments? We want to look at what clients are using and if there is interest in this feature?

What’s New – 23rd March 2023

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • The Main Dashboard tiles now display the Program Name and Program Code
  • New icon to distinguish between enrolments and students in the search bar
  • The edit sender email option is now available while sending emails
  • System Setting to Set Send email to all as yes by default
  • System Setting to generate certificates with Subject Code and Result Date

Main Dashboard – Tiles Changes

A new system setting has been implemented in our system, which now displays the program name alongside its corresponding program code on various tiles including Continuing Tile, Starters Tile, Finishers Tile, and Short Programs Tile.

Search Bar Changes

Main Dashboard’s Search Bar has undergone recent changes, which include the addition of a new icon to distinguish between enrolments and students in the search results list.

Compose Email – Sender Email Address option Changes

To access this feature, simply select the Add different sender address tick box located next to the sender dropdown when composing an email. 

Set Send email to all as yes by default – New System Setting

This setting applies to the campus level, and when it is enabled, the Send to All Email Address tick box will be selected by default on the New Applicant, Edit Student and Add/Edit Agent screens.

Certificates – Subject Code and Result Date – New System Setting

A new system setting has been implemented for certificates that allow the subjects to be sorted based on two criteria: Subject Code and Result Date.

Student Progress Matrix Report Data Columns

The table provided contains a list of columns and their respective explanations that will be included in the report that will be generated.

ColumnsExplanations
Student NumberThis is the system-generated student number.
Student NameThis is the complete student’s name (First name, Middle name and Last name)
Enrolment NumberThis is the system-generated enrolment number.
Enrolment Start DateThis is the start date of the enrolment.
Enrolment End DateThis is the end date of the enrolment.
Enrolment OutcomeThis column will show you the enrolment outcome such as in progress, Cancelled etc which is updated on the Edit Enrolment Details screen
EmployerIt will display the legal employer’s name.
List of SubjectsIt will display all the subjects’ names linked with the program and the system will display the outcome codes in the cells. 

NOTE – If the enrolment is cancelled then the system will display a can in each cell and if the subject is deleted from the enrolment then it will show the NA in the cell.
The cell will be blank if no result is updated on the Training Plan and Result screen for that subject.

Student Progress Matrix Report

Overview

The purpose of this report is to provide a summary of the student’s progress based on their program. Unlike the Student’s Results in the Listing report, which runs down the rows of an excel per enrolment, this report presents a different view known as the Student Progress Matrix. In this report, the subjects for enrolment run horizontally across the columns.

The report aims to give a comprehensive overview of the student’s progress in their program, showcasing their achievements and identifying areas where they may need improvement.

Attendance Step 1

Overview

This screen allows you to do two things –

  1. You can mark attendance for a class of students.
  2. You can mark results for any Subject or Unit of Studies (UoS) linked to a class.

When taking attendance, you will need to indicate whether each student in the class is present (attendance) or absent. The options you select will depend on how the timetable for the class was set up.

In the summary section of Step 2, after selecting the class, the system will display what you are marking – either absence or attendance – so that you can ensure you are recording the correct information.

Follow the below-given steps to mark the Attendance/Absence and Result of the student:

  • Select the timetable and date range for the attendance records you wish to view or update. This step enables you to filter and select a specific timetable for a particular campus. After selecting a date range (start and end dates) and a timetable, select the Go button to proceed.

Can’t find your Timetable in the Select Timetable dropdown?

You will only see timetables that meet the filters you have chosen for Campus, Attendance Start and End Dates.

Reasons for not finding a particular timetable that you may be looking for can be –

1. There are no classes in that timetable within that date range.

2. You have selected a date range that is incorrect.

  • Once you select the Go button, a list of classes that you can mark attendance or absence for will be displayed. To view the list of students enrolled in a particular class, select the Class Name link in the first column. This will take you to a new page that shows the list of students for that class.

Training Plan & Results Screen – Colour Codings

A new feature has been introduced on the Training Plan and Results Screen, which involves colour coding for both Results and Subject dates.

Result History – New Screen

The Result History screen provides a complete record of all past results and their respective dates for specific subjects. You will be able to access this screen from the Training Plan & Results screen > Results History icon.

Certificate Report – New parameters for Result Types

The Enrolment Dashboard now includes new parameters for result types in the Certificates Pop up window. Specifically, you can select from three options: Final Results, Progressive Results, or Both.

Copy Timetable – New Functionality

Creating a timetable from scratch can be a time-consuming and tedious task, especially if the same pattern of classes and schedule repeats after a certain period of time. However, there is a more efficient way to create a new timetable with the same pattern, and that is by using the copy timetable functionality.

This feature allows you to duplicate an existing timetable and make necessary changes as required. By doing so, you can save time and effort in creating a new timetable from scratch while ensuring that the schedule and class pattern remains consistent with the previous timetable.

Student Contact Log – New Report

A students contact details give you a list of all the contact log entries you have done in the communication section for a student and/or their enrolment/s. By running this report, you can gain access to past, current, and future contact information for the students, which can be useful for various purposes.

Additionally, having access to this report can help you plan for the future and make informed decisions regarding the student’s education.

Enrolment AVETMISS Settings > +Pre2018 AVETMISS settings button changes

We have made some changes to the +Pre2018 AVETMISS settings button on the Enrolment Avetmiss Settings screen.

The button will now only be visible under specific conditions. Specifically, it will only be displayed if the enrolment start date is earlier than or equal to 01/01/2019. On the other hand, if the enrolment start date is after 01/01/2019, the button will not be visible, and it will remain hidden.

Application Process – edit/add Discount

In the past, the system used to automatically split discounts among each invoice while doing the application.

However, now we have added the ability in the system that allows you to add and edit discounts for each invoice individually.

Application Process – Instalment Plans Changes

Recently, we have added a new option namely Patter on the New Application – Edit Invoice Screen.

This option allows you to recalculate invoices based on the pattern selection. With the Patter option, you can quickly and easily update the invoices without having to manually adjust each item.

Application Process – Study Period Changes

When using the study period start date as the invoice date or invoice due date while the application process, the system automatically calculates the study period dates for you.

Application Process – New OSHC and AVETMISS Settings Buttons

A new feature has been implemented on the Application Finished screen that includes additional buttons called +Add OSHC Provider Details and +Add AVETMISS Settings.

You will be able to update the AVETMISS Settings and OSHC provider details for the application from these buttons.
