What’s New – 09 Feb 2023

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New radio buttons introduced on the Public Holidays screen
  • New Icons and Columns introduced on the Traininer Welcome screen
  • Agent Portal now has a new Commission Due Tile

NCVER Annual Student Data Submission

Have you maintained and managed your student data this year in preparation for your annual student data submission? In this post, we walk through the first two steps of what you need to do in TEAMS.

We highly recommend you start these steps now, as these are critical to future steps where the larger volume of data is and where the biggest list of errors comes from.

Public Holidays – New Radio Buttons (National or State)

We have added two new radio buttons (National and State) on the Public Holidays Screen in the system. By using these radio buttons, you will be able to manage the National level and State level holidays for your RTO.

Trainers Welcome Screen – New Icons and columns

We have added new icons Link Subjects and Link programs under the actions column on the Trainer Welcome Screen. You will also be able to new columns Total Programs and Total Subjects in the grid.

Agent Portal – Commission Due Tile

We have introduced a new Commission Due tile in the Agent Portal. This tile will give you the details about the agent commission which is due for the students.

Agent Details Report Columns

ColumnsExplanation
Agent CodeAgent’s Code entered in the system.
Agent NameAgent’s Name entered in the system.
Agent TypeIt is a user code dropdown field. One can create multiple agent types in the system and can use them while creating agents.
Comm. PaidIf the Pay Commission tick box is selected on the agent Entry screen then the report will show you Yes otherwise the report will show you No.
Commission TemplateIt will show the default commission template selected on the agent entry screen.
Contract Renewal DateIt will show you the Contract Expiry Date selected on the Agents entry screen > Details tab.
loginAgent login is present on the agent entry details tab. This is used as the username in the agent portal.
Agent PasswordThe agent admin password is present on the agent entry details tab. This is used as the password in the agent portal.
Vendor CodeVendor Code of the Agent.
Purchase Order AmountIt will show you the Purchase Order Amount selected on the Agents entry screen > Details tab
ActiveIt will show you Y if the agent is active and N if the agent is inactive.
CampusIf the Agent is linked to more than one campus then this column will show you all linked campuses as comma separated. And if all campuses are linked to the agent then the system will show you “All” in the column.
Pre-deducted CommissionIf the Pre-deducted Commission tick is selected for the Agent on the agent entry screen > details screen then it will show you Y otherwise It will show you N.
Charge GSTIf the Charge GST tick box is selected on the Agent Entry screen then it will show you Y otherwise it will show you N.
Phone #Agent’s Phone number.
Mobile #Agent’s Mobile number.
Fax #Agent’s Fax number.
Email AddressThis column will show all the Email Addresses as comma separated i.e primary email, secondary, and additional email addresses.
Web AddressWebsite address of the Agent.
Local AddressThe local Address of the Agent added on the Agent Entry screen > Local Address Tab.
Mailing AddressThe Mailing Address of the Agent added on the Agent Entry screen > Local Address Tab.
CountryCountry of the Agent.
ContactThis column will show you the contacts added in the burger menu on the agent entry screen.
Email AddressEmail Address of the Agent

What’s New – 12th Jan 2023

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New Attendance Hours Report has been introduced under the Compliance menu
  • New Agent Details report has been introduced under the Marketing menu
  • Addition of a new column in the Application Processed Report
  • The overseas tab is now available for Next of kin details
  • You can now unallocate Timetable from enrolments
  • New reference field for refunds
  • New Pre-deducted feature on the Agent Financial Screen

Attendance Hours Report

We have added a new report Attendance Hours in the system

This report will show you the Attended and Absent hours for each enrolment of the student for a selected period.

Agent Details Report

We have added a new report Agent details report to the system

This report will show you every detail of the Agent such as the Agent’s Name, Agent Code, address, commissions etc.

Enrolment Status Column – Application Processed Report

We have added a new column Enrolment Status in the Application Processed Report.

You will be able to see the enrolment status such as Current, Finished and Not Yet Started.

Next of Kin Address Details – Overseas tab

We have added new address fields in the system which will allow you to add the Overseas Next Of Kin address on the Overseas screen.

Cancel Enrolment – UnAllocate Timetable

We have added a new check unallocate Timetable in the system.

You will be now able to unallocate the timetable while canceling the enrolment.

Added Reference in the refund

Now we are also displaying the reference in the refund transaction details on the student financial screen

You will be able to see the reference value entered while creating the refund and also you can print the reference value in the refund report as well.

New Feature Pre-Deducted – Agent Financial screen

We have made some changes to the Agent Financial Details Screen where you will able to identify the Agent Payment as Pre-Deducted or Post-deducted.

Communication Log Screen – Ability To Download Attachments

We have made some changes to the Communication log screen and added the ability to download the attachments when any email was sent to a student/enrolment.

You can select the view icon for the email and then select the attachment to download the attached files.

Note: The system will allow you to download the attachments for future emails in this update.

Unstart/Unfinish Enrolments In Bulk

We have introduced a new feature to Unstart/Unfinish enrolments in the system under the Starters and Finishers listing screens.

Unstart Enrolments: This feature is available under the Starters listing screen > Burger Menu > Unstart Enrolments option which allows you to Unstart the enrolments in bulk.

IMPORTANT: – In the burger menu of the Starters Listing screen, you will see an option for Unstart Enrolments. When this is selected, the system will look for the enrolments that are flagged as finished and will not allow the enrolment to be unstarted.

Note:  We have also added the icons to Unstart and Unfinish enrolments under the Actions column on the Starters and finishers listing screen.
1. Red icon will allow you to unstart the enrolments.
2. Red icon will allow you to Unfinish the enrolments.

Unfinish Enrolment: This feature is available under the Finishers listing screen > Burger Menu > Unfinish Enrolment option which allows you to Unfinish the enrolments in bulk.
