Edit Multiple Invoices screen changes

We have added three new columns Discount, Discount Reason and Deposit Due for you in the edit invoices grid while editing the multiple invoices.

Note – The discount column will allow you to give a discount on the total amount for a particular invoice, and once you add the discount, the system will calculate the total amount of the invoice accordingly.

What’s New – 20th Oct 2022

In this release, we have introduced three new columns (Discount, Discount Reason and Deposit Due) while editing multiple invoices and we have also done some changes in the Transition Process. There are some visual changes while doing the New Application process and you will also see Login Screen security improvements and changes for the Agent Commission.

Login Screen security improvements

We have been introducing tightened security measures for all client sites and their users, to ensure their sites are secure.

We have made some changes to the login screen and locked account in the system to tighten the security of your passwords.

Edit Multiple Invoices

While editing multiple invoices on the Enrolment Dashboard > Student Financial screen, you will now see three different columns which will allow you to give a discount on a particular invoice.

Overpaid Agent Commission

While creating a receipt for an agent invoice, you will be able to make an overpayment where the student has paid you more money for an Agent commission.

New Application – Agent Commission-related changes

We have made some changes to the Agent commission while doing the new application process where you can pay commission to the invoice, Apply GST and create a bonus invoice for the Agent.

Transition Process

In the Transition Process, once you do the transition for any enrolment from one program to another, you will see the letter T at the end of the enrolment number.

Once you finished the transition process, you will be able to see this change in different locations in the system.

Visual Changes – New Application

We have made some visual changes while doing the New Application process. You will continue to notice further visual improvements with each update and we will keep you posted in the what’s new summary for each update.

What’s New – 6th Oct 2022

In this release, we have introduced a new feature to allow you to chat and call our support staff directly from TEAMS. We have also done changes in the student receipts to allow a student to make an overpayment. There are also visual changes that have been made and you can read about them below.

New Feature – LiveCaller to chat and call online

Now from TEAMS, you will be able to reach us via online chat and online calls through LiveCaller.

This feature is available on the Main Dashboard.

New Icon – Megaphone

After each TEAMS update this icon will be a link to the newest post for What’s New. If you put your mouse over the icon it will show you what the date of the latest/last update was. For instance, this update is for 6th October 2022 so the tooltip will show you this and when you select the link it takes you to the What’s New post for the 6th October 2022. As we update every fortnight, this icon will always be there and just show the most current what’s new post until the update occurs.

This icon is available on the Main Dashboard.

Help Icon in TEAMS

When you open screens in TEAMS, from this update onwards, you will see a new help icon in the right hand corner of the screen. If you click on this it will open a help post in a new browser that you can read and understand how the screen, process or report works.

Visual Changes in TEAMS

We have made minor visual changes to certain areas in the system.All the tiles in the system now have rounded borders and also we have changed the font style so it is easier to read.

We have also updated the icon for the upload picture icon and this icon for the Student Dashboard, Applicant Dashboard and Agent Dashboard.

You will continue to notice further visual improvements with each update and we will keep you posted in the what’s new summary for each update.

AVETMISS Export

Main Dashboard > Compliance > AVETMISS Export

AVETMISS Export is the process of extracting AVETMISS data from TEAMS in a format that can be submitted to the relevant State Training Authority (STA) or the National Centre for Vocational Education Research (NCVER) in Australia.

AVETMISS Export involves selecting and extracting the required data fields and formatting them according to the AVETMISS data standard. This process ensures that the AVETMISS data is accurate, complete, and consistent with the data standards, which is essential for meeting the mandatory reporting requirements for your college.

When you are on the AVETMISS Export screen, you can choose between two export options which are State or National.

State – State level AVETMISS submission refers to the process of submitting AVETMISS data to the relevant State Training Authority (STA) in each Australian state.

National – National level AVETMISS submission, on the other hand, refers to the process of submitting AVETMISS data to the National Centre for Vocational Education Research (NCVER), which is the national agency responsible for collecting, managing, and analysing VET data in Australia.

Please choose your preferred option on the screen and then select the Next button. This will allow you to proceed to the next step in the process.

Application Listing Screen – History

Change – Application Tile Listing – Requires Homestay and Requires Airport Pickup/Drop off

We have added new tick boxes Requires Homestay and Requires Airport Pickup/Drop off on the Application Tile Listing screen.

Once you select these tick boxes and selected the Apply button {Apply Button} it will show you those applications that have the tick boxes for Requires Homestay and/or Requires Airport Pickup/Dropoff selected. From there you can download the list by selecting the CSV icon as shown below:

What’s New – 22nd Sept 2022

This release features improvements to the report engine for MS Word reports, new settings to identify which applicants & students need homestay and/or airport transfers arranged, the ability to mark absences as approved or sick leave in bulk, new CEFR levels can be entered at the Test Results level for ELICOS students and other minor changes. All of these changes are listed below.

Report Engine optimisation for MS Word reports

We have been optimising our report engine for MS Word reports to improve the speed and efficiency of customising your templates for letters, certificates etc.

When you select to generate a word report the system gives you a popup so you can select a custom template. Now you will see your custom templates in the .docx format and not the .dot format.

This is for any MS Word report that you can print from any of the dashboards where word reports are available. This would include dashboards for applicants, applications, students or enrolments dashboards.

New Application – Requires Homestay and Requires Pickup settings

In the new application process, once you have added/selected an applicant/student to create applications for you will see two new settings for Requires Homestay and Requires Airport Pickup/Dropoff

Once you have completed your applications you will be able to see these settings in different locations in the system.

Application List Screen – new CSV download

In a similar fashion that we have on other list screens such as Starters, Finishers and Continuing Students we have added a new icon for CSV so you can download the list if applications listed in the grid.

When you select the CSV icon you will be able to browse and save the file to your local computer.

ELICOS Test Results new fields for CEFR Level and Other English Level

If you are delivering ELICOS courses to students and managing their test results in TEAMS, you can now add the CEFR Level as well as a more general level for the information to print in Certificates.

Attendance – Approved & Sick leave tick boxes

You can now mark absence as approved and/or sick leave in bulk from the attendance screen.

This feature was available from the Enrolment Dashboard > Classes & Attendance tiles as a one to one entry.

We have also added a new Notes icon in the screen to add notes for any leave you are entering.

LMS/Student Portal – New Account Summary Section

When a student logs into the LMS/Student Portal they will be able to see their enrolment/s financial account summary under the Accounts tab.
