What’s New – 04th May 2023

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • New Agent icon on the student dashboard to identify and navigate the information
  • New Applicant icon and Edit Application icon on the student Dashboard’s Applicants Tile
  • The search bar has undergone some new improvements
  • New Invoice Due Date on the Enrolment Dashboard
  • New Amount (Amt) has been added to the Application Edit Invoice Screen
  • New CSV icon Attendance Listing Screen

Student Dashboard – Agent Icon for enrolments

On the Student Dashboard, a new Agent Icon has been added beneath the Current and Upcoming Enrolment tile.

Student Dashboard – Application Tile – New Icons

These icons will provide easy access to the student’s Applicant Dashboard, allowing for quick navigation to view and edit the student’s pending application.

Search Bar – Improved Search Functionality

With these changes, you will be able to search for a specific student by their Primary Email address, their DOB and, by typing their last name followed by their first name, in a particular format.

Enrolment Dashboard – Raise Invoice Screen New Field

A new field has been added to the Invoice summary tile called Invoice Due Date. This new feature allows you to specify a specific due date for the invoice, which can help to better manage payments and keep track of outstanding balances.

New Application – Edit Invoices/Preview Screen – New Column

A new column called Amount (Amt) has been added to the Application Edit Invoice Screen. This column is specifically for the Rate Based Tuition fee

With this new feature, you can easily view the amount you will be charging based on the quantity you have selected for the rate based tuition fee.

Enrolment Dashboard – Attendance Listing Screen – New CSV icon

We have added new CSV icon on the attendance listing screen which will appear in the right hand side of the student attendance listing grid.

You can simply select this icon and the system will generate the Student Attendance Grid report for you.

Student Dashboard – Application Tile – New Icons

The Student Dashboard has undergone an update with the introduction of new icons in the Applications tile. These icons will provide easy access to the student’s Applicant Dashboard, allowing for quick navigation to view and edit the student’s pending application.

This icon will allow you to go to the Applicant dashboard for the particular student.

This icon will allow you to edit the pending application of the student. Please note this icon will only appear if the students have any pending application for them.

New Application – Edit Invoices/Preview Screen – New Column

A new column called Amount (Amt) has been added to the Application Edit Invoice Screen. This column is specifically for the Rate Based Tuition fee. When selecting the rate based tuition fee and inputting the quantity on the New Application Fee Selection Screen, selecting next button will show you the Amount column, Quantity column. With this new feature, you can easily view the amount you will be charging based on the quantity you have selected for the rate based tuition fee.

For Example – if the rate based tuition fee is $13.94 and a quantity of 12 is selected in the quantity column, the system will calculate the total amount as $184.01 (13.94 x 12 with inclusive of GST amount 16.73) and display it on the New Application Invoice Preview Screen.

Student Dashboard – New Agent Icon for Enrolments

On the Student Dashboard, a new Agent Icon has been added beneath the Current and Upcoming Enrolment tile. When hovering the cursor over the icon, a tooltip will appear displaying the name of the agent. This icon will allow you to identify the designated agent linked to an enrolment.

Note – The Agent Icon will only be visible on the Student Dashboard if the agent is linked to an enrolment. If the agent is not assigned to a particular enrolment, the icon will not appear.

Aged Debtors Report

Main Dashboard > Finance Menu > Aged Debtors Report

The Aged Debtors report is a financial report that provides you with an overview of the outstanding fees owed by students.

The report will assist the finance department in monitoring and managing outstanding fees owed by students. It allows you to identify which students have overdue payments, how long the payments have been outstanding, and the total amount owed by each student.

The report typically categorises the outstanding receivables into different time periods, commonly 30 days, 60 days, 90 days, and over 90 days. Each category represents the age of the debt from the invoice due date, indicating how long it has been outstanding. The report shows the total amount owed in each category.

Employer Entry Screen

Main Dashboard > System Admin menu > Employer Entry


To create a new employer, simply select the +Employer button, which will direct you to the Employer Entry Screen. This screen allows you to input and enter the information and details of the employer. The screen includes fields and tabs for employers to provide their legal name, contact information, address and other relevant data.

The Details tab allows you to input and update employers’ details, including the Employer Code, Employer Name, Legal Name, type, and other pertinent information. Please note that the Employer Code and Employer Name cannot be left blank when entering the employer in TEAMS as these two fields are mandatory.

The Contact Information tab allows you to enter the employer’s contact information, including phone numbers and email addresses.

The Address tab focuses on entering the employer’s address details, such as street name, city, state, and postal code.

Lastly, the Overseas tab will only allow you to add the overseas details, if you have selected the overseas tick box on the details tab. 

Select the ‘Save‘ button after filling in the details of the Employer.

User Entry Screen

Main Dashboard > System Admin menu > User Entry

Once you select the +User button, it will open the User Entry Screen where you will find various fields to fill out the user’s basic details and other contact-related information.

There are different tabs on this screen, and you can navigate to the next tab by clicking on the particular tab name.

Fee

Main Dashboard > Finance > Fee

This screen is called the Fee Welcome screen and it will show you the list of active Fees in the grid that is already in your database. You can search for the Fee by the Code or Name of the fee in the search field, you can select Fee Type from the drop-down list, you can select the Object Type from the drop-down list and also if you want to see any inactive fees then you can select the Include inactive fees tick box.

You can select the +Add button to add the new fee to the system.

Finance Reports

Below is a list of all the reports available under this menu option in the system. You can see the name of the report with an icon that has the letters CSV in it. Generally, all reports in the system generate a CSV (Comma-separated values) file.
