Account Manager – User based restricted login

We have introduced a new feature namely the Account Manager User Login in the system. This feature offers enhanced access and tailored functionality for account managers.

With the Account Manager User Login, account managers will have a dedicated login that provides access to specific information relevant to their assigned responsibilities. On the Main Dashboard, the tiles and the listing screens throughout the system will only display details exclusively related to that account manager.

Furthermore, the Account Manager User has been granted the ability to add enquiries or applications for students, which will automatically be linked to their assigned accounts. This allows for efficient management and tracking of new enquiries or applications linked with each account manager. When accessing the Student and Applicant Dashboard screens, account managers will have the ability to view student and applicant details only. Similarly, on the Application and Enrolment Dashboard screens, account managers will only see applications and enrolments linked to their assigned accounts.

Note: The user has been given the right to upload documents from the document log screens from various platforms.

Welcome to the latest update for TEAMS

Some key changes made in this update are:

  • The enquiry screen now has a new Document Log screen
  • New PRISM icon on the Student Dashboard
  • New Agent icon and Delete icon on the Application Dashboard
  • Student progress Matrix report now has a New Score Column
  • You can now restrict user based permission to the Account Manager

Enquiry – New Document Log screen

This screen aims to assist you in efficiently uploading student documents for those in the enquiry stage. To upload documents for students at the enquiry level, simply select the +Add button from the Enquiry Document Log screen.

Student Dashboard – New PRISMS Icon

This new icon will help you to see the student’s information altogether. This will help you to easily copy the information from this popup window to paste it in PRISMS to create CoE, so that you do not have to click on the icons separately on the profile tile to check the student’s information.

Application Dashboard – New Agent & Delete Icons

We have added a new Agent icon and delete icon under the Applicant profile tile on the Application Dashboard screen.

Agent icon will allow you to Add a new agent or edit the existing agent that is linked with the application. Delete Icon will help you to delete the linked agent.

Student Progress Matrix Report – New Score Column

When the system settings are turned on, the generated Student Progress Matrix report will display a separate Score column for each unit that the student is studying. This column will indicate the score achieved by the student in that specific unit.

Student Progress Matrix Report – New Score Column

A new system setting has been implemented for the Student Progress Matrix report that will allow you to show a separate Score column for each unit.

When the system settings are turned on, the generated Student Progress Matrix report will display a separate Score column for each unit that the student is studying. This column will indicate the score achieved by the student in that specific unit. This enhancement to the student progress matrix report provides a comprehensive overview of each student’s performance in their respective units, allowing for a more detailed analysis of their progress.

Note: Our default settings have been configured to exclude the score column as the default selection when generating the student progress matrix report. However, if you prefer to have the score column under the report by default, we offer the option to turn on this setting for you. To do this, please contact our support team, and they will assist you in making the necessary changes to your organisation site.

Enquiry – New Document Log screen

We have introduced a new Document Log screen under the Burger Menu of the Prospect Entry screen for students who are still at the enquiry level. This screen aims to assist you in efficiently uploading student documents for those in the enquiry stage.

To upload documents for students at the enquiry level, simply select the +Add button from the Enquiry Document Log screen. By selecting the +Add button, you can easily upload the required documents from your system for each enquiry student

Student Dashboard – New PRISMS Icon

We have added a new icon under the Student/Applicant profile tiles for the overseas students. By selecting this icon, the system will open the popup window which consolidates all the student’s related information under one screen.

This will help you to easily copy the information from this popup window to paste it in PRISMS to create CoE, so that you do not have to select the icons separately on the profile tiles to check the student’s information. This new icon will help you to see the student’s information altogether.

Aged Debtors Report Filters

The General Filters tab on the Aged Debtors Report screen provides a list of filters that can be used to refine the data displayed in the report.

Below is a table that shows the filters and their explanations: Using these filters, you can customise the report to show only the information that is relevant to your needs, making it easier to analyse.

Invoice Due Date – When you select this, the system will print the report based on the Invoice Due Date.

Invoice Date – When you select this radio button, the system will print the report based on the Invoice Date.

CampusSelect a specific campus or select multiple campuses for your RTO if you are submitting this report for multiple campuses.
ProgramThis is a magic search field and you can search for multiple Programs by typing the Program Code.
Enrolments to includeYou can include enrolments such as Finished and Started tick boxes, Select Enrolment to include, Finished and Starter
Show accounts in creditSelect this check box to show accounts in the credit

Timetables and ClassesThis is a magic search field and you can search for Timetable and Classes by typing the name and Code.
Account ManagerThis is a user code in TEAMS and based on the User Code created, you can select multiple account managers from the dropdown
Enrolment TypeThis is a user code in TEAMS and based on the User Code created, you can select multiple enrolment types from the dropdown

Select the Print Icon  to generate the report, the system will direct you to the report dashboard screen. You can see the report status over there if it’s generated or not. Once it’s generated, download the report.

Search Bar – Improved Search Functionality

The Main Dashboard’s Search Bar has undergone some changes. With these changes, you will be able to search for a specific student by their Primary Email address, their DOB, or by typing their last name followed by their first name, separated by a comma.

Example: If you want to search for a student whose first name is Siddharth and last name is Dugral, simply type ‘Dugral, Siddharth’ in the search bar or enter his DOB in the DD/MM/YYYY format.

Enrolment Dashboard – Raise Invoice Screen New Field

Previously, when raising a new invoice for enrolment, the system allowed you to add the invoice date. However, changes have been made to the Enrolment Dashboard > Invoice screen.

A new field has been added to the Invoice summary tile called Invoice Due Date. This new feature allows you to specify a specific due date for the invoice, which can help to better manage payments and keep track of outstanding balances.
