Webform – New Training Location dropdown and reCAPTCHA

Recently, we have made significant improvements to the WebForm, resulting in faster access and a smoother user experience. Now, the screen opens within seconds, ensuring quick and efficient interaction with the form. Along with the performance optimisation, we have introduced a new dropdown menu for Training Location within the Course Selection Section.

This addition enhances the webform’s functionality by allowing you to select the preferred Training Location conveniently. Additionally, to enhance security and prevent spam submissions, we have incorporated a recaptcha at the bottom of the screen. This helps verify that the WebForm is being filled out by a human user rather than an automated bot. With these updates, we aim to provide a more efficient and secure web form experience for you.

USI Web Service Version 5.0

We are thrilled to share the exciting news that TEAMS has successfully transitioned from the USI web service 4.0 to USI web service 5.0

Report Dashboard Optimisation

Now, whenever you generate a CSV report, the report dashboard will provide additional information to enhance clarity and context.

Specifically, the dashboard will display the Campus name, taking into account any multiple campuses selected while generating the report. Additionally, the report’s start date and end date will be prominently displayed, offering clear visibility into the specific timeframe covered by the report.

Survey Screen

With this new feature, you can design surveys, customise questionnaires, and tailor the survey flow according to their specific requirements.

The addition of this new screen aims to enhance the survey management capabilities of our system, facilitating efficient survey creation and empowering you to gather valuable insights from their survey students.

Task Management – Action Details New Report

We are pleased to inform you that a new report called the Action Details Report has been added to our system.

The report provides a comprehensive view of all the details associated with tasks created from the Task Entry Screen. Additionally, it includes action logs for Journal Entries. 

Intervention Status Report – Campus Dropdown Changes

The key change involves transforming the Campus dropdown into a multi-select option. Previously, you were limited to selecting only one campus at a time for generating these reports.

Intervention Status report – Campus Dropdown Changes

Previously, when generating the Intervention Status Report, the system allowed you to select only one campus at a time from the campus dropdown menu. However, we have now made important changes to this feature. The campus dropdown menu has been transformed into a multi-select option, giving you the flexibility to select multiple campuses when generating this report. This improvement provides increased convenience and efficiency, as you can now generate report for multiple campuses in a single operation.

With the new multi-select capability, you can easily include data from different campuses in the Intervention Status Report, enabling a more comprehensive and holistic view of student progress and intervention efforts across various locations.

We believe that this enhancement will greatly benefit you, offering greater flexibility and enabling more efficient reporting processes.

Listing Screens – Intake/Dates Column Changes

We are excited to announce that we have implemented updates to the Intake/Dates Column across all listing screens, including Continuing, Starters, Finishers, and Financial Dashboard > Overdue Fee Listing, Payment Due Listing and Payment Received Listing. Previously, the system would display enrolment dates only if there was no linkage to an intake.

With the recent changes, the Intake/Dates Column now provides more comprehensive information. If the enrolment is linked with an intake, the column will display both the intake name and the enrolment dates. On the other hand, if there is no intake linkage, you will only see the enrolment dates without the intake name. This enhancement allows for a clearer representation of enrolment details, providing you with a better understanding of the associated intake and enrolment dates.

Task Management – Action Details New Report

We are pleased to inform you that a new report called the Action Details Report has been added to our system. To access this report, navigate to the Action Details Screen and select the Burger menu. The report provides a comprehensive view of all the details associated with tasks created from the Task Entry Screen. Additionally, it includes action logs for Journal Entries. When you generate the report, it will be available in both Word and PDF formats.

If you wish to customise the template according to your specific requirements, you can easily do so by selecting the Report Template option. We have provided guidelines in a separate post on How to customise the Report template in TEAMS. This feature allows you to tailor the report template to align with your preferences and needs, providing you with greater flexibility and control over the generated reports.

Task Management – Enhancements

Task management plays a crucial role in efficiently organising and handling tasks associated with different entities in TEAMS, including Students, Enrolments, Agents, Employers, and more.

Group Training Plans Entry Screen Optimisation

An improvement has been made to the entry screen for group training plans, resulting in a more efficient process. With this enhancement, there is no longer a need to manually input the subjects and their corresponding dates.

Financial Dashboard – New Refresh Icon on Financial Tiles

You will now notice a new refresh icon accompanying the financial tiles, specifically the Overdue Fees, Payments Received, and Payments Due sections.

Certificate Report – Student Passport Number New Merge Field

This merge field is designed to incorporate and print the student’s passport number on the certificate.

Completed Qualification – Default Setting

We have introduced a new system setting that aims to simplify the process of managing qualification information for your students. This system setting is added under the System Admin > Site Setting menu.

Enhanced Trainer’s User-Related Restrictions

Now, when a user is linked to a trainer, they will have restricted access to the Dashboards and Screens within the system.

Negative Invoice Reference – New Label

The system will now display this Negative Invoice Reference Number in the Transactional Details section for that particular Negative Invoice.

New Applicant – AVETMISS Field Related Changes

In the past, when accessing the AVETMISS tab on the New Applicant/Edit Applicant screen, you would be presented with an extensive list of options for Country of Birth and Language Spoken at Home. We have since made significant improvements in these fields, which are now equipped with a convenient magic search feature that enhances your experience.

Instead of scrolling through a long list of options, you can simply begin typing the name of the desired country or language and the system will give you relevant suggestions that match your input. This streamlined approach makes it quicker and easier to accurately select the appropriate Country of Birth and Language Spoken at Home for each applicant.

Task Management

The Main Dashboard now features a task management tile that provides an overview of different task categories, including Closed tasks, Active tasks and Unassigned tasks. Each of these sections has dedicated screens to perform specific actions on tasks.

Student Result Listing Report – New Subject Type Column

Dashboard > Student Management > Student Result Listings

A new system setting has been implemented for the Student Result Listing report that will allow you to show a separate Subject type column for each subject.

In the Student Result Listing report, the subject type refers to the classification of each subject based on its role in the curriculum. It helps differentiate between core subjects, which are essential and mandatory for all students, and elective subjects. This classification allows you to easily identify whether a student has competent or failed in core or elective subjects, providing a comprehensive overview of their academic performance in subject type.
