What’s New – 3rd Nov 2022

In this update, we have released the new Agent Portal. This will allow any of your agents; that you give permissions to, the ability to view information that they would normally email or call you about. They will also be able to create applications in TEAMS and you will be notified. Also, we have introduced a new view icon to allow you to view a password for specific fields in the system. A new filter (tick box) on the Application Listing screen has been added, that will allow you to search based on application dates. And new filters and column heading changes have been made to the bulk results screen. For a full list of what has been added in this release, please see below.

Agent Portal

We have released the New Agent Portal. Agents will be able to view information that they would normally email or call you about, such as current students and commission invoices overdue etc. They will also be able to do applications that are directly in TEAMS and you will receive notifications.

As part of the Agent Portal, we have made some changes on the Agent entry screen for you to be able to setup their login details.

New Icon – View Password

We have made some further improvements and added a new icon on the user login screen and User entry screen. Now the user will be able to view their password by selecting the view icon in the password field.

New Filter – Use Application Dates

By default, the system uses the creation date of an application to search and display results in the Application List screen. We have added a new filter for Use Application Dates. If you select this the system will search based on the application dates. You can access this screen from the Marketing Dashboard.

Bulk Results Screen

We have made some changes to the Filters and how the system behaves when you select information in them. Also, we have changed the name of some of the column headings in the grid and have added a new column to the grid as well.

ED – Agent Financial Details new payment information

We have made some changes on the Enrolment Dashboard > Agent Financial screen. Now you will be able to see Agent’s payments (what invoice was done for both student and agent payments and who did the payments.

Agent – new login fields for Agent Portal

We have now added two new fields Agent login and Agent Admin password on the Agent entry screen

We have also added a new eye icon on the screen to view the agent admin password.

Program Screen – New Field

We have added a new field Last Reset on to the Program Screen > Settings tab and you will only see this field if you have set up the study sequence of the program as rolling in your TEAMS site.

You can set the last reset year as rolling from the dropdown.

Agent – new fields for Agent Portal

We have now added two new fields for Agent login and Agent Admin Password to allow you to setup an agent with a login to the Agent Portal. For the new password field you will also see the new View icon.

Note: When setting up login details for an agent to access your Agent Portal, it is our recommendation that you follow a standard format that your staff must use when creating logins for agents. The recommended format is as follows:

Agent Login: use the agent’s primary email address for this, such as info@edgeoverseas.com – the agent’s primary email address is on the Contact Information tab of the Agent Entry screen.

Agent Admin Password: use the Agent ID that the system automatically generates for an agent. This can be found on the Details tab of the Agent Entry screen. In the example below, the Agent ID is A00172. Then add a mix of numbers and symbols to make it a stronger password. So for this agent below it could be something like A001722022%^&

Both of the pieces of information we have recommended are unique to a specific agent. There can be no mistaking what agent the login is for and no chance that a user will use the same login details for two different agents.

Bulk Results – changes to filters and grid columns

We have made some changes under the Bulk Result screen and now the options available under the Programs, Timetable, and Intake fields will be dependent upon the Campus selected.

For Example – if you have selected a particular Campus under the Campus field, then the Program field will only display the programs that are linked to that selected campus and the same as it will load the Intake and Timetable.

Bulk Result Screen > Column related changes under Grid

There are some changes that have been made to the grid column headings in the bulk result screen.

  • The ‘Student No’ column has been renamed to ‘Stud No’.
  • The ‘Enrolment No’ column has been renamed to ‘Enrol No’
  • The ‘Intake’ column will now be renamed as ‘Intake/Dates’ and it will reflect dates as well.
  • New column, ‘Subject Start Date’ and ‘Subject End Date’ has been added under the grid
  • The ‘Group Training Plan’ and ‘Score’ columns have been removed.

Applications Listing – new filter Use Application dates

We have added a new filter for Use Application Dates which is a tick box. By default the system searches based on the application creation date and displays applications in this screen. With this new filter, when you select it and enter dates in the Start and End date fields, the system will look for any application that has a start date within the date range you have entered.

Change – Agent Commission Payment Screen > two new columns

Dashboard > Marketing > Agent Dashboard > Pending Payment Icon

We have added two new columns on the agent commission payment screen that you use to record your post-deducted commissions. The new columns are:

  • Commission to be Paid
  • Balance Commission to be Paid

Explanation:

Comm. to be Paid: This column will show you the commission which is truly due on the paid amount.

Example: If a student’s invoice for tuition fee is $6,600 and total commission is $1,980. And the student just paid $5,000 out of $6,600. In such case, this newly added column will show you the commission due to be paid on $5,000. This way, it will be easy for everyone to see the commission according to how much tuition fee a student paid instead of doing the calculations manually.

Bal. Comm. to be Paid: This column will show you the proportionate balance commission to be paid. Now, if I will continue with the above example where total commission is $1,980 and student paid only $5,000. On $5,000, the commission is $1,500. And let’s say, you have paid $1,000 commission to the agent out of that $1,500. The Bal. Comm. to be Paid column will show the proportionate balance i.e $500. See the below screenshot:

  1. Student Inv Amount – This column will show you the total Tuition Fee for the student’s invoice that the system calculates commission on.

  2. Student Rec Amount – This column will show you the paid Tuition Fee for the specific student invoice.

  3. Ag Inv Amount – This column will show you the total agent commission for the student’s invoice. It will calculate the commission based on the commission rate updated for the agent. Referring to the same example as highlighted in the screenshot where total Tuition Fee is $6,600 and commission rate for the agent is 30%. Hence why the commission is $1,980 ($6,600 * 30/100).

  4. Comm. to be paid – This column will show you the total agent commission to be paid. Referring to the same example as highlighted in the screenshot where student has paid $5,000 out of $6,600 and the commission on this $5,000 would be $1,500. The system will look at the commission rate that was used to calculate the original agent commission, such as 30% in the above example and calculates what the proportionate amount of the commission is due to be paid.

  5. Comm. Paid – This column will show the commission which has already been paid to the agent either by a pre-deducted (student’s receipt) or post-paid using the commission payment screen. If there is no commission paid, then you will see $0.00 in this column.

  6. Bal. Comm. to be Paid – This column will show you the proportionate balance commission to be paid. So using the example above, it is column 4 – column 5. However, if there was no commission paid and the amount in this column will be equals to column 4 which means $1,500.

  7. Balance – The column will show you the total pending commission for the agent’s commission invoice. So using the example above, it is column 3 – column 5.

Receipt – Agent Commission pre-deducted amount change

In a similar fashion to how the changes were made in the receipt process for any overpayment by a student, you now will be able to enter a pre-deducted agent commission amount more than what is raised for a specific student invoice.

IMPORTANT: While creating the receipt for the student, the system will only allow you to add an overpaid amount for the agent commission if it is less than or equal to the student invoice amount.

For example, If there is $1925 pending for the agent commission and you are going to record a receipt for one agent where the student invoice is $1000 and you are paying $1200 for the agent commission. In such a scenario, the system will not allow you to save your overpayment. However, if the paid amount by the student is $1000 for the agent commission which is equal to the student’s pending invoice ($1000) then the system will save your overpayment and will balance out the commission accordingly for the other invoices.
