Applicant Profile Tile

The tile will give you an overview of the basic information about an applicant. You can edit details, addresses, overseas information and much more information related to the Applicant.

Note: Once the applicant is converted to a student then you won’t be able to add/edit any details at the applicant level. However, you can make changes from the Student Profile Tile.

You can upload an applicant’s profile picture from here and edit the details as well for an applicant.

This tile will show you the number of converted and pending applications linked to the applicant. The columns in the tile will show you some basic (Campus, Program, Intake, Start and End Dates of the application, financials, etc.

Applicant Dashboard

An applicant is a person who has applied to your college to study one or many programs (courses) and requires an Offer Letter (quote) to be sent to them as to how much it will cost them etc. Some colleges may call applicants potential students or leads.

For CRICOS colleges you would process their application and issue an Offer Letter to the student or their agent. Whereas for a domestic college, you may process the application and send them some form of costing or quote with a Welcome Letter.

The Applicant dashboard is similar to the Student Dashboard in that it is a summary for the applicant. Each tile in the dashboard will give you summary information such as what they have applied for, a financial summary for each application, and where you can access any documentation or communications you have had with the applicant.

Other than the Financial tile, all the other tiles will allow you to navigate to different screens and information linked to the applicant or do transactions directly from the tile for the applicant.

This tile will display a summary of the instalments (invoices at the enrolment level) for each application.

How to link Subjects to an Enrolment?

To link subjects to an enrolment, go to Enrolment Dashboard > Result and progress tile > Training Plan and Results Icon. Once you select the icon, the system opens the Training Plan and Results screen.

This screen is about the subjects linked to the enrolment, their start and end date, results and result date. This screen is visually distributed in 2 sections where you can edit the dates, and results, link the trainers, mark the assessments and many more. To link subjects, you need to go to the second section which is called the results grid.

IMPORTANT – Before linking any new subject to an enrolment, please make sure that it is added in the system on the subjects screen or the subject is linked with the program on the program > subjects screen. It is recommended to check the correct subject codes on training.gov.au before adding them to the system.

Now, to link subjects to the enrolment, you need to select the Subject Icon. When you select this icon, it will expand the screen and you will be presented with all the subjects related fields in the grid itself.

Note – There are two Radio buttons that will help you to search the subject that you wish to link to the enrolment and based on the radio button selected the system will show you the subjects in the Subject Code search field.

Program linked to the enrolment – The “Program linked to the enrolment” radio button will be selected by default. This will show only the program’s subject in the Subject Code field.

From the full list of subjects in the system – When you select this radio, the Subject Code field will show you all the system’s subject codes that are not linked with the program.

Other fields explanations

Subject Code – search the subject with the subject code which will show you all the suggestions under the search field. Select the correct one.

Start Date and End Date– Select the subject dates from the calendar. Please make sure that the dates that you are selecting, should lie between the enrolment dates.

Seq No – Add the sequence number of the subject.

Core/Elective – Select any of the one radio buttons as it is mandatory to mention if the subject is code or elective.

Score – When you add a score, the credit points required field will be auto-populated.

Trainer – you can select the trainer and delivery group from the dropdown. You can choose either to allocate a trainer at the enrolment level only OR you can choose to allocate different trainers to the individual Subject/s. If you wish to allocate different trainers to Subjects then select a trainer from the dropdown.

Delivery Group – Select the delivery group from the dropdown.

Once you have updated all the above steps, select the Add button. Upon selecting the button, the system will refresh the screen and update the subject in the grid.

Change – Enrolment Profile Tile > Tooltip on Employer Icon

Initially, the system was showing Employer Tracking as the tooltip of the employer icon on the enrolment profile tile.

But now the system will show the name of the employer and the start/end dates of the employer in the tooltip which is linked to the enrolment recently. And If there is no employer linked to the enrolment, then in the tooltip it will say ” Employer – None linked”.

NOTE – The system will always show the details of the employer in the tooltip which is linked most recently with the enrolment.

Quicker way to update dates in TEAMS

Earlier, we were selecting the dates either from the calendar or we had to enter the dates in the same exact format of the calendar i.e. dd mmm yyyy for updating or entering the dates in the TEAMS. But now we have made it an easier and quicker way to update dates in the system and you can simply type the dates in the dd/mm/yyyy format and the calendar will be accepting this format and automatically converts it into dd mmm yyyy format. Yes, this saves us time :).

The system converted the dd/mm/yyyy format to dd mmm yyyy automatically.
