Agent Commission Due Report – New Student Receipt Date Column

We have made a valuable addition to the Agent Commission Due Report—the Student Receipt Date column. This newly added column serves to display the receipt date for each specific invoice. This enhancement enhances the report’s functionality by providing essential information about when payments were received, aiding in financial tracking and management. It offers users a more detailed and comprehensive view of their commission-related data.

NOTE – If the invoice has multiple receipts then the report will only print the latest Receipt’s Date in the report.

Email Sent Listing Screen – New Program Code Column

As part of our continuous efforts to enhance user experience and provide valuable information at a glance, we have introduced a new column in the email listing screen. This new column, labeled “Program Code,” has been strategically placed next to the “Enrolment Number” column.

NOTE – The Program Code column has been purposefully designed exclusively for the enrolment object. This column will only be displayed within the grid view when you actively choose Enrolment from the object type dropdown.

Finishers Report – New Student’s First Name and Last Name Columns

In our recent updates to the Finishers Report, we’ve made valuable enhancements by introducing the inclusion of two new columns: Student First Name and Student Last Name. These additions are aimed at providing more comprehensive and personalised information within the report. With the integration of these columns, the finisher report now offers a more holistic view, allowing you to easily identify and associate students’ first and last names with their respective accomplishments.

Transition Screen Optimisation

We have optimised the Transition Screen in the system. We have removed the common tab from the Training Plan and Result Screen. Now the system will display the Transitioned Tab instead of the common tab. This is an editable screen.

Previously, the old units from the old course appeared in the inactive tab after that transition. However, old units will now appear under the new Transitioned Tab.

Inactive tab and delete tabs will be there and these tabs will show the units that you will manually delete or make units inactive.

Note – You can only make those units inactive or delete the units that are under the current tab.

Please see the below to understand the process.

  • On the transition screen (that we use to start the transition process), For the same units that are in both courses, the results will be copied from the old unit to the new unit. For the Superseded and Newly added units, you have a choice to change the Result and Result date while doing the transition.
  • If in the old unit, the result is competent and it is a superseded unit, you can mark CT, RCCG, RCCNG, RPLG, RPLNG or GT and whatever the result date a client marks, the system will use that date to update the unit start and end date. Meaning, the unit start date, end date and result date will be the same in the mentioned result types.
  • You will have a choice to generate a certificate report for old and new enrolment, the system will print the data in the report accordingly.

IMPORTANT – When generating any report or viewing any screen related to the transitioned enrolment in the system, it will show you the subjects according to the current programs.

Impact on the NAT Files

Nat files will print the data from the old enrolment as well if the activity start and end dates lie within the collection period. You have a choice to remove the progressive results such as continuing activity or NYS, so that those are not getting reported.

For Example – If the old enrolment has 10 units and two are competent, others are NYS then remove NYS from the units to exclude them from the submission. To know more about results, please follow the NCVER Rules for superseded training.

Welcome to the latest update for TEAMS

Some key changes made in this update are:

Xero Integration

We are thrilled to share some exciting news with you – we’ve successfully implemented a one-way integration between TEAMS and Xero, specifically involving the utilisation of charts of accounts. This integration now empowers TEAMS to seamlessly handle fee entries within Xero’s framework.

Here’s an illustration: Suppose you’ve generated an application in TEAMS, subsequently transitioning to enrollment. In this scenario, TEAMS will seamlessly export invoices, receipts, and agent payments directly into Xero. Our setup encompasses two distinct banks in Xero – the Main Account and the Fee Account.

When recording receipts or agent payments within TEAMS, the bank you designate holds key significance. The integration operates in such a way that the chosen account in TEAMS aligns with the relevant account in Xero. It’s important to ensure accurate selection within TEAMS. However, in instances where no specific account selection occurs, TEAMS takes the initiative to employ the Main Account for Agent Payments and designates the Fee Account for Student Receipts.

IMPORTANT – As part of our integration, we facilitate the seamless export of invoices, student payments, agent invoices, and agent payments from TEAMS into Xero. It’s important to note that any supplementary transactions executed within TEAMS necessitate manual adjustment or editing within the Xero platform.

Transition Process Optimisation

This optimisation encompasses a range of improvements applied to the Training Plan and Results screen, as well as the transition screen. Notably, a significant change you’ll observe is the introduction of the Transitioned tab, replacing the previously labeled Common tab on the Training Plan & Results (TP&R) screen.

Report Dashboard – Optimisation

The recent optimisation brings a notable enhancement to the Report Dashboard. Now, when you initiate report generation, a refresh icon appears, indicating that the system is actively working on the report. The process is seamless, as the system automatically processes the report and subsequently provides a download icon.

This eliminates the need for repetitive manual refreshing of the report dashboard to check if the report is ready. This improvement has also resulted in a substantial reduction in the processing time needed to generate reports

Student Financial Detail Screen – New Qty and Rate Column

When navigating to the Student Financial Details screen, specifically within the Financial tab featuring additional options for invoices, there is a notable update.

The system now dynamically displays pertinent information in the form of quantity and rate columns. The system now accurately captures and presents the corresponding amount under these designated columns, providing a more comprehensive and transparent view of financial details.

Student Dashboard – New Notes Icon

This improved feature allows you to effortlessly include notes for any student directly through the student dashboard, specifically by accessing the student profile tile.

This streamlined approach eliminates any unnecessary complexity, ensuring that adding important notes for students is now more convenient and accessible than ever before.

Raise New Invoice – Invoice Notes New Option

TEAMS introduces a new level of flexibility by enabling you to incorporate Invoice Notes when generating new invoices.

This enhanced feature empowers you to seamlessly attach relevant invoice notes directly from the Application Dashboard while creating invoices for applicants, or from the Enrolment Dashboard when generating invoices for enrolments. These added notes are then automatically synchronised with the financial transactions, providing a comprehensive overview of the context behind each invoice.

Webform – Redesign Agent Section

This redesign introduces a significant improvement, granting you the capability to seamlessly introduce new agents to the system, complete with their respective agent Codes and Names. In the previous setup, your ability to establish connections between agents and applicants was confined to those agents already present in the system.

However, this new enhancement facilitates the inclusion of entirely new agents, enabling you to effortlessly input and associate agent codes and names directly within the webform.

Webform – Redesigned Agent Section

We have undertaken a redesign of the agent section within the webform, introducing notable improvements. Previously, this section solely displayed agents already present in your database. However, we’ve now introduced a valuable addition in the form of a checkbox labeled “Agent not in the list.

Upon selecting this checkbox, the web form interface presents two distinct fields: Agent Code and Agent Name. These fields become mandatory when dealing with new agents that aren’t yet within the system. This enhancement streamlines the process of incorporating new agent information by allowing you to promptly update the agent’s code and name.

Following the completion and submission of the web form for the applicant, you’ll find a convenient pathway to access this information. Specifically, within the Applicant Dashboard under the Profile tile, a Webform Icon is available. Upon selecting this icon, you’ll encounter the new agent code and name, along with the “Agent not in the list” checkbox, ensuring seamless tracking and management of agent-related details within the TEAMS system.

Report Dashboard – Optimisation

The Report Dashboard has undergone recent enhancements aimed at improving your experience. Notably, these changes have led to a significant reduction in the processing time required for generating reports.

With the implementation of this latest enhancement, the need for repetitive screen refreshing when generating reports within the Report Dashboard has been eliminated. A novel addition to the system is the introduction of a process icon, which effectively indicates the ongoing processing of the report. This dynamic icon persists until the report generation is complete. Subsequently, you are presented with a download icon for the generated report.

Student Financial Detail Screen – New Qty and Rate Column

A significant update has been made to the student financial details screen, introducing the inclusion of two additional columns namely QTY (Quantity) and Rate. This modification holds particular relevance when generating invoices that are based on a specific rate.

Notably, upon creating an invoice with a designated quantity, this information will now be prominently visible when selecting the “More” option within the Student Financial Tab. This enhancement spans various types of fee transactions, encompassing Invoices, receipts, transfers, and refunds.

Student Dashboard – New Notes Icon

In an exciting addition to our student dashboard, we have implemented a fresh feature – the notes icon. This icon serves as a gateway to a convenient pop-up window, triggered with a simple click. Within this pop-up, you can effortlessly add your notes for the student . Once you’ve composed your notes, a quick step remains – just tap on the ‘Update’ button. This action seamlessly saves all your input and changes, ensuring your notes are securely stored for future reference.

Raise New Invoice – Invoice Notes New Option

A valuable enhancement has been introduced to our invoicing process. When generating a new invoice, a convenient invoice notes feature has been incorporated into both the Application Dashboard’s Invoices section and the Enrolment Dashboard’s Invoices section. This enhancement allows you to include pertinent notes while generating invoices, enabling comprehensive communication. These notes are then seamlessly incorporated into the student financial summaries upon saving.

Furthermore, the convenience of adding invoice notes extends to the application creation stage. During the process of creating a new application, you now have the ability to add Invoice Notes from the Application Preview screen. This inclusion of invoice notes at the application level ensures that the information seamlessly carries forward.

Notably, these notes are visible on the Application Dashboard under the Financial tile’s Student Tab. This functionality continues to be relevant even after an application is converted, as the notes persistently appear on the Enrolment Dashboard’s Student Financial Details screen.
