Once you select the +User button, it will open the User Entry Screen where you will find various fields to fill out the user’s basic details and other contact-related information.

There are different tabs on this screen, and you can navigate to the next tab by clicking on the particular tab name.

Fee

Main Dashboard > Finance > Fee

This screen is called the Fee Welcome screen and it will show you the list of active Fees in the grid that is already in your database. You can search for the Fee by the Code or Name of the fee in the search field, you can select Fee Type from the drop-down list, you can select the Object Type from the drop-down list and also if you want to see any inactive fees then you can select the Include inactive fees tick box.

You can select the +Add button to add the new fee to the system.

Email Template

To view the latest updates and modifications on the Email Template Welcome screen and Email Template Entry screen, we kindly request you to navigate to the History icon history of changes showing above. By selecting this icon, you will gain access to a detailed log of all the recent changes made to the software.

The Email Template Welcome screen serves as the hub for crafting email templates tailored for various entities within the system, such as Applicants, Applications, Students, Enrolments, Agents, and more. On this screen, you will encounter a comprehensive list of templates presented in a grid format, showcasing those already existing in your system. For efficient navigation, the search functionality is at your disposal. Should you require a particular email template, you can swiftly locate it by entering either its code or name into the designated search field.

Furthermore, the process of template customisation is seamless. By selecting the edit icon located within the Actions column of the grid, you gain direct access to modify a template as needed. This user-friendly interface empowers you to create, locate, and refine email templates to effectively communicate across various aspects of your system.

SMS Template Entry Screen

Main Dashboard > System Admin Menu > SMS Template Screen > + SMS Template Button

An SMS template entry screen allows users to create or edit templates for sending SMS (Short Message Service) messages. It typically provides a text Message input field where you can compose the content of the message template. The screen also enables you to save commonly used or frequently sent messages as templates for quick and easy access.

This screen is accessible from the SMS Template Welcome screen and once you select the +SMS Template button, it will take you to the Email Template entry screen.

Below is the Explanation of the fields on the Email template screen

FieldsExplanation
SMS TitleThis is a mandatory field and this field will be visible in the sent SMS
Template TypeThis field will allow you to decide as to where you want to apply this template i.e students, enrolments, agents etc.
Available FieldsDepending upon the Template Type parameter, this field will show you merge fields accordingly. If you select student as the template type then it will show you the student’s merge fields only.
Marketing SMSSelect this Option to mark this SMS template as a Marketing SMS template
Default SenderYou can select the default sender of this SMS template here
MessageYou can type the SMS message in this field.

Email Template Entry Screen

The Email Template Entry screen refers to the screen where you can create or edit email templates. It is typically a part of an email marketing or communication platform that allows you to design and customise pre-designed email templates for various purposes such as newsletters, transactional emails, or student support communications.

It provides a visual editor or a form-based interface where you can modify the content, layout, and styling of the email template. You can also add and format text, insert images or multimedia content, customise colours, fonts etc.

This screen is accessible from the Email Template Welcome screen and Once you select the +Email Template button on the screen, it will take you to the Email Template entry screen.

Below is the explanation of the fields on the Email Template Entry screen

FieldsExplanation
Email TitleEmail Title will only be visible to TEAMS users. Please note, the email title cannot be left blank as it is a mandatory field.
Email SubjectThis is the Subject line of the email which will be visible to the students/enrolments. Please note, the email title cannot be left blank as it is a mandatory field
Template TypeYou will see different objects (such as students, enrolment, agent etc) under the drop down of this field and based on your requirements you select one template at a time to create the email template.
Available FieldsDepending upon the Template Type parameter, this field will show you merge fields in the Available fields accordingly. If you select student as the template type then it will show you the student’s merge fields only.
Add ButtonUpon selecting the merge fields you can select this button to add in the message box. 
Marketing EmailUpon selecting the merge fields you can select this button to add to the message box. 
Default SenderThis field will allow you to add the name of the default sender
Attach FilesIf you wish to attach files to your email template then you can it be selecting the attach files button.

Why can’t I see any GST amount for a fee?

If the system has not calculated a GST amount for a fee, it is most likely because the Charge GST option was not set for the fee at the time it was raised in the invoice.

IMPORTANT: it is important to understand that at the time you do a transaction in TEAMS, the system uses the settings for that transaction as they are. If you then change the settings afterwards, the system will NOT retrospectively go backwards and update data. For example, you have a material fee that was not set with Apply GST and you raise that fee in invoices for students. You then realise this mistake and go and update the fee with Apply GST turned on. The system will not go backwards and update all the invoices with the fee in it where the GST wasn’t calculated, it will only use the new setting for the next invoice you raise with the fee in it.

Follow the steps below to update a fee with the Apply GST turned on

  • Go to Main Dashboard > Finance menu > Fee icon
  • Search the fee with the Fee code on the Fees Welcome Screen and then select the Apply button.
  • After your search, edit the fee from the edit icon under the actions column.
  • On the Fee Entry screen, select the Apply GST tick box and save.

When all the above steps are done, the GST will starts appearing for the fee.

Classroom Entry Screen

Main Dashboard > System Admin menu > Classrooms > +Classroom Button

To create a new classroom, you need to select the +Classroom button. This will take you to the Classroom Entry Screen, where you will be required to select the appropriate classroom code and name, along with other relevant details that need to be filled in. It is essential to ensure that you enter the correct classroom code and name to avoid any confusion later on.

Training Location Entry Screen

Compliance Menu > Training Location > Add Button

When you select the + Add button on the training location welcome screen, you will be directed to the Training Location Entry Screen. This screen contains various fields that allow you to add a new training location into the system. Additionally, if you already have a training location that you want to modify, you can make changes to it using this screen.

The fields on this screen will likely include information such as the code and name of the training location, the address, contact information, and any other relevant details. By filling out these fields accurately and completely, you can ensure that the training location is properly recorded in the system and that all necessary information is readily available when needed.

Note – The fields on this screen are clear and easy to understand. You can add any additional fields as needed. Simply input the relevant information into each field and the system will process it accordingly.

Enrolment – Standard Training Plan Report

Enrolment Dashboard > Result and Progress Tile > Print Icon

The enrolment standard training plan report serves as a comprehensive document that offers students a concise yet comprehensive understanding of the training program. Its primary objective is to provide a clear outline of the program’s structure and anticipated outcomes, benefiting both trainees and training administrators in monitoring progress and facilitating effective training delivery. This report encompasses essential details, including the training mode, specific unit start and end dates, allocated hours, and outcome status, ensuring transparency and facilitating efficient coordination. The unit starts and end dates specifically define the duration of each module or unit within the training, enabling students to plan and manage their learning journey effectively.

Please select the desired template from the dropdown menu and select the Generate button. Once successfully generated, you can easily download the template in either PDF or DOC format.
